MICROSOFT OUTLOOK SECURE EMAIL
SETUP VERSION 2.5
This utility will allow you to meet your HIPAA and GLB compliance requirement with "one click" of a mouse. (Note: There is one limitation to this utility. Microsoft Outlook will not let you use Microsoft Word as your primary mail editor. But you will not lose any critical functionality to accomplish this task)
Setup version 2.5 is specifically for using your account on the SafetySend system as your secondary email account only to handle compliant messages. Although it is a fully functional email account this secure email and file transfer account is designed to run parallel to your existing mail network.
Using SafetySend with Microsoft Outlook is very quick and easy. If you are familiar with Outlook just use these settings and you will be working in less than five minutes. If you need to download the setup file utility click here.

Step 1:
Install SafetySend Outlook setup program (Version 2.5) from disk.
Download is available here: www.safetysend.com/support.htm (download version 2.5)

Step 2:
SafetySend requires the following settings to be modified from the default settings for use.
Login: username@yourdomain.com (You must enter your complete email address)
Password: ******

Step 3:
Choose POP as your mail type and set up your incoming and outgoing mail servers.
POP3 Setting: mail.safetysend.com
SMTP Setting: mail.safetysend.com

Step 4:
These are the critical steps required to secure your account for compliance purposes.
The rest of the setup is located under the MORE SETTINGS tab, which is located when adding or editing your email account..
Under OUTGOING SERVER the following box(es) must be checked:

Under ADVANCED the following settings must be checked.
Incoming Server (POP3) uses PORT 995
YOUR MUST CHECK – My server requires SSL
Outgoing Server (SMTP) uses PORT 465
YOUR MUST CHECK – My server requires SSL

It is also recommended that you check the following boxes on that page as well.
Leave a copy of the messages on server (allows access via the web mail option)
Remove from server after 10 days
Remove when server when deleted from “Deleted Items”
After you have finished this portion you need to adjust how your mail is handled by Microsoft Outlook.
NOTE: This is only required for Version 2.5*
Step 5: Open Microsoft Outlook and click TOOLS
click OPTIONS
click MAIL FORMAT
Step 6: Uncheck "Use Microsoft Office Word to edit email messages
Step 7: Click APPLY
Step 8: Click OK
