READ THIS FIRST:   Be sure you have downloaded and Installed the Microsoft Outlook Security and Compliance Utiltity

NOTICE:  Trial accounts will not work in Outllook unless SMTP service is activated for your specific acount.  If you are not a paid user, you must request SMTP access here and all information must be complete and accurate before we will provide access to any third party to prevent spam.


CONGRATULATIONS:  You are only a few minutes away from making your Outlook a HIPAA compliant message center.


STEP 1:  Open Outlook.   If this is the first time you have used Outlook.  You will see this screen.







Choose POP3 as your mail type.



Set up your incoming and outgoing mail servers.

Incoming mail server (POP3):
Outgoing mail server (SMTP):



SafetySend requires the following settings to be modified from the default settings for use.


Login:    (*you must enter your complete email address)

Password:     ******


These are the critical steps required to secure your account for compliance purposes.

The rest of the setup is located under the MORE SETTINGS tab, which is located when adding or editing your email account.


You must name your mail account as "SecureAccount" as shown in above image.


Under OUTGOING SERVER the following box(es) must be checked:


My outgoing server (SMTP) requires authentication.

Use the same settings as my incoming mail server.



Under ADVANCED the following settings must be checked:


Incoming Server (POP3) uses PORT 995     YOU MUST CHECK -  My server requires SSL

Outgoing Server (SMTP) uses PORT 465     YOU MUST CHECK - My server requires SSL


It is also recommended that you check the following boxes on that page as well.


Leave a copy of the message on server (allows access via the web mail option)

Remove from server after 30 days

Remove from server when deleted from "Deleted Items"


After you have finished this portion you need to adjust how your mail is handled by Microsoft Outlook (This is only required for Version 2.5)




Open Microsoft Outlook and click TOOLS  >  click OPTIONS  >  click MAIL FORMAT

Uncheck "Use Microsoft Office Word to edit email messages  >  Click APPLY  >  Click OK
